Job Summary:
The Portfolio Executive is responsible for managing property investments to ensure growth and maximum income through effective property management and asset control. This role involves overseeing operations in line with established policies, procedures, and legal requirements, delivering professional and efficient services, and resolving customer issues promptly.

Duties and Responsibilities:

  1. Property Management: Stay updated on market activities such as tenant movement, new developments, and major vacancies. Attend relevant meetings and functions related to property operations. Learn more about Property Management
  2. Asset Management: Implement regular preventative maintenance programs, manage refurbishments and repairs, and oversee contractor site meetings. Ensure tenant responsibilities are enforced during and at the end of lease terms and liaise with authorities for compliance with the OSH Act.
  3. Client Reporting: Provide timely and accurate information to clients, analyze monthly income and expenses, monitor turnover rentals, and review operating costs quarterly. Ensure all municipal and general recoveries are monitored and reported.
  4. Plans and Budgets: Prepare annual budgets and forecasts, review rental rates quarterly, and assist in business plan formulation, budget control, and expenditure analysis. Approve Capex and Ti specifications and ensure compliance with Capex procedures. Explore Budgeting Tips
  5. Building Management: Develop and manage a five-year maintenance plan, propose refurbishments, and maintain project control. Review building status and standards annually.
  6. Debtors Management: Conduct monthly meetings with debtors and leasing teams to manage arrears, legal actions, and write-offs.
  7. Credit Control: Manage arrears, legal actions, write-offs, and other credit-related matters.
  8. Parking Management: Oversee parkades, maintain control of in-house operated parkades, and manage related interactions.
  9. General Duties: Support and serve personnel as needed, maintain clean and secure work areas, stay informed about Portfolio Management developments, assist with publicity and cross-sell services, and complete special projects as assigned.

Qualifications:

  • Education/Certification: Matric and an associated degree in business or a related field, or an equivalent combination of formal training and 5 years of experience. A valid Fidelity Fund Certificate is required.
  • Knowledge: Thorough understanding of Company Portfolio Management products, policies, and standards. Knowledge of government regulations and legal requirements in Portfolio Management.
