Job Advert SummaryPURPOSE: • To manage, coordinate and administer contracts with suppliers. • To assist relevant Managers with improving logistics contract coverage, logistics legal compliance and achieving logistics commercial savings. MAJOR CHALLENGES: • Providing a logistics contract management service to multiple business units for multiple commodities. • Continuous pressure on continuous improvement in terms of cost-effectiveness, innovation and productivity.

Duties & ResponsibilitiesPOSITION OUTPUTS: The incumbent will inter alia be responsible for the following: Best Practice and CI • Identify and support the implementation of process and system enhancements to continuously improve the contract management process • Conduct monthly reporting on the contracting process • Ensure procurement savings occur Compliance, Governance and Assurance • Ensure supplier/stakeholders comply with relevant regulatory requirements • Identify internal regulatory compliance issues in conjunction with Business Unit (BU) and Corporate Centre (CC) • Consolidate reports and provide feedback to Manager on appropriate contract management reporting and governance requirements • Provide relevant and specialised support to applicable stakeholders • Collaborate and communicate with suppliers Contract Administration • Draft logistical service Request for Quotation (RFQ)/Request for Proposal (RFP)/Request for Information (RFI) • Draft commercial agreements and finalise sign-off of commercial agreements with Suppliers • Compile tender documentation as per project • Determine commercial and financial evaluation of tenders • Obtain tenders from specific marketplace through marketing process • Record and monitor contract compliance and renewal applications • Investigate a need for contract extensions and terminate contractual relationship upon completion, if required • Identify when contract modifications are required and draft modifications for approval by senior specialist • Capture approved modifications on relevant systems • Maintain records and files Contract Management • Manage and monitor supplier and vendor performance. This includes: Delivery, product quality, partnering capability, Safety Health Environmental (SHE) requirements, consumption, International Organisational Standards (ISO) standards, commercial verification of payment and payment • Pro-actively engage with suppliers • Contribute to supplier development • Influence supplier base in terms of involvement with local economic development initiatives • Perform contract maintenance by determining if operational service level updates or logistical agreement changes are required, or logistical agreements are fulfilled • Evaluate contract stipulations and provide recommendations • Communicate and ensure adherence to contractual rights and obligations • Approve or seek approval of relevant contracts and documentation in line with departmental budgetary stipulations • Assist with following-up and confirming processing and payment of service provider invoices for logistics as well as for international marketing’s South Africa (SA) office Customer and Client Relationship Management • Maintain a database of supplier information and continuously ensure that integrity and quality of data are relevant and of required standard • Liaise with marketing and logistics, BU personnel and suppliers in order to provide input in development of Service Level Agreements (SLAs) with suppliers • Support on-boarding of new suppliers and manage supplier relationships Functional Excellence • Provide input into marketing and logistics policies, standards, guidelines, procedures, end-to-end processes, tools, templates etc. and adhere to these • Standardise, simplify and speed-up functional processes and eliminate duplication/bureaucracy • Develop and apply functional best practices and promote sharing of best practices/knowledge • Oversee and monitor functional activities at operations • Identify and manage critical functional risks through appropriate mitigation plans and actions Functional Management • Financial management: Comply with marketing and logistics budget and forecast costs • Performance management: Assist with implementing logistics’ strategic plan through disciplined execution processes, track implementation and provide feedback to relevant manager. Contribute towards functional/cross-functional activities to ensure strategic alignment. Track and drive functional targets/goals to achieve results • Continuous improvement and functional change: Contribute towards identifying, advocating and implementing marketing and logistics’ improvement and change. Contribute towards a culture of continuous improvement and change agility in the function • Engagement/communication: Engage with operations and cross- functionally with peers. Represent marketing and logistics and the Company externally as required • Governance: Ensure marketing and logistics adheres to governance, policies and standards, statutory and legal compliance.
