Role reports to: Inbound Division Team Lead

 

Purpose of the role:

  • To serve as the critical coordination hub for inbound operations, ensuring seamless end-to-end order fulfillment by managing the complex interplay between suppliers, internal teams, and customers. This role exists to optimize the inbound supply chain process while maintaining exceptional customer satisfaction through proactive communication, efficient problem resolution, and meticulous order management.
  • The Inbound Operations Coordinator acts as the operational backbone that bridges the gap between procurement, logistics, and customer service, ensuring that customer expectations are not only met but exceeded

 

Your responsibilities can include:  

  • Supporting the department across all required administrative and coordinative functions and duties in line with SOPs, policies, & procedures.
  • Supporting the customer service & buying teams in resolving: 
  • Customer order queries;
  • Complaints and associated resolution, including route cause analysis;
  • Merchant delivery issues & queries.
  • Ensuring customers receive their orders on time, according to expectations, and that they are proactively updated and communicated to on the status and any changes to their orders.
  • Management of all assigned Inbound queries
  • Processing created purchase orders on time, tracking these orders, and managing Merchants and delivery to ensure stock availability and delivery date
  • Continuous follow-up on all orders to identify unconfirmed and late shipments impacting customer orders.
  • Managing IBTs, responding to stock availability & Merchant delivery issues and liaising with the distribution centers to ensure customers receive orders on time.

 

Qualifications, Experience and Competencies: 

  • Matric
  • Relevant tertiary qualifications a plus
  • 3 years relevant industry experience
  • Competency in MS Office packages
